Job Description
Description We are looking for a detail-oriented Receptionist to support daily front-desk and administrative operations for an on-site team. This is a contract position created to provide coverage during a leave of absence, with an initial expected duration of two months and the possibility of extension. The ideal candidate will bring strong communication skills, a strong in-office presence, and the ability to manage calls, visitors, and routine office tasks with accuracy and discretion.
Responsibilities:
- Welcome visitors, create a positive first impression, and direct guests to the appropriate staff members or departments.
- Manage a multi-line phone system by answering incoming calls promptly, transferring them correctly, and taking clear messages when needed.
- Provide day-to-day administrative support to the Property Manager and team to help maintain organized operations.
- Handle routine front-office tasks such as monitoring shared spaces, coordinating basic office communications, and supporting general clerical needs.
- Maintain a courteous and businesslike approach in all in-person and phone interactions while representing the organization in a business-casual environment.
- Assist with document preparation, data entry, and other Microsoft Office-related tasks to support office workflow and reporting needs.
- Ensure reception and common areas remain orderly and prepared for employees, visitors, and scheduled business activities. Requirements
- Previous experience in a receptionist, front-desk, or administrative support position.
- Ability to operate a multi-line or switchboard phone system and manage a steady volume of inbound calls.
- Proficiency with Microsoft Office applications, including Word, Outlook, and Excel.
- Strong verbal and written communication skills with a courteous and service-oriented approach.
- Reliable organizational skills and the ability to handle multiple priorities in an on-site setting.
- Detail-oriented demeanor and consistent attendance for a part-time schedule from Monday through Friday.
- Comfort working independently while also supporting a Property Manager and the broader team as needed.
