We're looking for an Administrative Assistant / Client Services Assistant to join our team and help keep our office organized, responsive, and running smoothly. This is a great opportunity for someone who is organized, dependable, personable, and eager to learn . Previous financial-services experience is not required. We're looking for someone with a strong work ethic and positive attitude who wants to develop their professional skills and potentially grow within the financial-services industry. The Opportunity As our Administrative Assistant / Client Services Assistant, you'll provide day-to-day administrative support to our advisors and client-service team while helping create a welcoming and professional experience for our clients. This is an ideal role for someone early in their career who is motivated, enjoys working with people, and wants the opportunity to learn in a professional financial-services environment. As you gain experience and learn our business, there may be opportunities to take on additional responsibilities and grow within the firm. What You'll Do Answer incoming phone calls and direct client requests to the appropriate team member Greet clients and help create a welcoming, professional office environment Schedule and confirm client appointments Assist with calendar management and basic client follow-up Scan, file, copy, mail, and organize documents Enter and update information in client records and internal systems Prepare basic paperwork and materials for client meetings Help track outstanding paperwork and administrative tasks Handle incoming and outgoing mail and deliveries Order office supplies and help maintain an organized office Assist advisors and team members with general administrative needs Learn our systems and processes and take on additional responsibilities as experience grows What We're Looking For You don't need a background in finance to be successful in this role. We're looking for someone who is: Reliable, punctual, and organized Friendly and professional on the phone and in person Comfortable interacting with clients Detail-oriented and able to follow through on tasks Comfortable learning new technology and office systems Able to manage multiple priorities in a busy office Comfortable using Microsoft Outlook, Word, and basic Excel Willing to ask questions, learn, and take initiative Positive, hardworking, and willing to pitch in where needed Interested in developing professionally and taking on more responsibility over time Previous administrative, customer service, receptionist, or office experience is helpful but not required . Education High school diploma or equivalent required. College coursework or a degree is a plus, but not required. We value professionalism, reliability, a strong work ethic, and a willingness to learn. Opportunity for Growth For the right person, this role can be more than an administrative position.
