Job Description
Position Overview The receptionist is the initial face clients see or voice they hear when interacting with our local First Command office. This role is a professional role responsible for greeting clients, answering/routing phone calls, entering data, maintaining the client access areas, preparing client materials, and performing other essential office duties as required by the District Advisor (DA) or Office Manager (OM). Responsibilities Present a professional appearance and demeanor while assisting the clients via the phone or in person Greet clients and make them comfortable while also informing Administrative Assistant or Advisor of arrival Answer the telephone and route calls to the appropriate staff Check the telephone answering machine and take messages to the appropriate staff Maintain and prepare office documentation, electronic files, and client documentation Sort and distribute mail, as well as, collect and deliver outgoing mail/packages Keep common areas neat and clean (e.g., client waiting area, kitchen) Ensure all client facing supplies and forms are current and available and report when items need to be reordered Monitor and report on stock of general office and hospitality supplies Prepare coffee and maintain other beverage supplies for clients daily Be a team player and be willing to take on additional or different tasks as the office need demands Perform other duties as requested by the DA or OM Minimum Requirements Excellent organizational, written and verbal communication skills Proficient in MS Office products specifically Word and Excel, data entry and/or Outlook Ability to handle multiple tasks and willingness to do what needs to be done to serve our clients Self-motivated and strong desire to learn and grow with the office High school diploma or equivalent Expected hours: Office hours are 9am-5pm, this role is 35-40 hours per week
