Job Description
Job Summary We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. Responsibilities Greet visitors and clients warmly and check them in for appointments. Manage multi-line phone systems, handling incoming calls with professionalism and courtesy. Perform clerical duties including data entry, filing, and maintaining organized records. Assist with calendar management, scheduling appointments, and coordinating meetings. Provide customer support by addressing inquiries and resolving issues in a timely manner. Utilize Microsoft Office and estalbished Electronic Health Records System for document preparation, correspondence, and presentations. Maintain office supplies inventory and assist with office management tasks as needed. Proofread documents for accuracy and clarity before distribution. Assist in records request and sharing documents while complying with HIPPA Collaborate with team members to enhance office efficiency and workflow. Skills Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Strong typing skills with attention to detail for data entry tasks. Excellent organizational skills with the ability to prioritize tasks effectively. Bilingual abilities are a plus for enhanced communication with diverse clientele. Previous experience in front desk operations or as a dental/medical receptionist is desirable. Familiarity with multi-line phone systems and strong phone etiquette. Solid clerical experience with a focus on customer service excellence. Time management skills to handle multiple responsibilities efficiently. Experience in personal assistant roles or administrative support is advantageous.
