OEA members provide a wide range of professional education services in communities throughout the state. The OEA is seeking an Operations and Support Assistant to serve primarily as the Receptionist at OEA's Headquarters Office located in downtown Columbus, Ohio. This role performs an essential and important function at OEA and plays a key role in making a positive impression on our visitors. Greeting members, guests, Officers, and staff builds connection, fosters trust, and offers a personal welcome that is impactful to each person's experience. Being positioned at the front desk allows an opportunity to serve as a brand ambassador for the organization through words and actions.
Essential Functions:
Provides customer service to visitors, to callers, to staff and to members Greets persons entering establishment, determines nature and purpose of visit, and directs them to specific destinations Operates telephone to answer, screen and forward calls, providing information and taking messages Performs clerical support tasks such as collating and preparing meeting materials, opening mail, and transcribing information; maintains and updates meeting room calendars and coordinates after-hours security services when necessary Notifies staff of front-desk deliveries Uses current computer software applications to enter data and process information in accordance with Association policies and procedures Operates office equipment, printing, duplicating, bindery, and mailing equipment and postage machines Creates and/or maintains paper or electronic filing systems
Significant Duties:
Fosters a welcoming environment in the reception area Answers, screens, and routes incoming multi-line calls Provides exemplary customer service Facilitates meeting room requests and assists with preparation of meeting materials Provides support and coverage in the Printing and Mailing shop Receives, sorts, processes and distributes mail Communicates information to managers, co-workers and others in person, by telephone, in written form or e-mail Attends staff meetings and trainings Provides input into decision-making as it impacts associate staff functions Performs duties related to job description Provides support for organizing plans and practices for engaging members Maintains confidential records and files Operates in a collaborative team environment Lift up to 49 pounds Team lift packages above 50 pounds or greater than 90 inches Stand, walk, push, pull, squat, bend, and reach during shifts Use carts, dollies, hand trucks, and other gear such as personal protective equipment (PPE) to move items around Go up and down stairs (where applicable) Use of step stools
Qualifications:
High school diploma or equivalency One year of receptionist or call center customer service experience required Two (2) years' experience in an automated office environment performing moderate level data entry work and/or in use of computer systems, databases and computer software applications Ability to communicate effectively and professionally
