Job Summary We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! Responsibilities Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Handle incoming and outgoing correspondence, including emails, mail, and packages using Google Workspace and Microsoft Office tools Maintain organized filing systems, data entry records, and accurate documentation for efficient office operations Schedule appointments, manage calendars, and coordinate meetings with attention to detail and time management Assist with clerical tasks such as proofreading documents, preparing reports, and updating databases like QuickBooks or other bookkeeping software Support office management duties including supply inventory, filing systems, and basic bookkeeping tasks Experience Previous office or administrative experience is preferred, especially in roles such as receptionist or personal assistant Familiarity with multi-line phone systems, calendar management tools, and Microsoft Office Suite (Word, Excel, Outlook) is essential Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Experience in customer service or healthcare settings (such as dental or medical receptionist roles) will be advantageous Strong organizational skills combined with excellent typing speed and computer literacy are key to success in this role Proven ability to handle clerical duties like proofreading, data entry, filing, and managing phone etiquette with professionalism Join us in creating a welcoming environment where efficiency meets exceptional service!
