Receptionist - Refined Skin & Acne Clinic About Us Refined Skin is a skincare clinic dedicated to providing high-quality treatments and an exceptional client experience. We're seeking a polished, professional, and detail-oriented Receptionist to be the welcoming face of our clinic. This role is ideal for someone who thrives in a client-focused environment, enjoys multitasking, and takes pride in maintaining an organized, beautiful, and efficient workspace. Position Overview As the Receptionist , you'll manage front desk operations, client communication, scheduling, and retail coordination. You'll be the first and last point of contact for every guest—ensuring each experience reflects Refined Skin's commitment to excellence and care. Key Responsibilities Client Experience & Front Desk Greet clients warmly and professionally, ensuring a positive first impression Manage client check-in and check-out with accuracy and efficiency Support estheticians between appointments with setup, cleanup, and supply needs Communication & Scheduling Monitor and respond promptly to all communication channels: phone, text, email, social media messages, and Square Schedule, reschedule, and cancel appointments accurately per clinic guidelines Maintain an organized daily schedule, optimizing for last-minute openings or waitlist clients Operations & Housekeeping Follow procedures in the Refined Skin Training - Receptionist Guide Maintain a polished, professional appearance and ensure the front desk is always attended Complete daily tasks such as laundry, dishes, watering plants, and tidying the workspace Obtain cash/change from the bank when needed for transactions Retail & Order Management Fulfill online and in-store pick-up orders Conduct bi-weekly inventory counts and restock retail shelves Transaction Handling Process product and service sales through Boulevard accurately Verify that all transactions are properly recorded Capture and manage client payment information securely Marketing & Communication Support Update clinic hours and closures on social media and Google Maps Assist with posting or scheduling social media content as needed Business Operations Oversee daily operations to ensure efficiency and alignment with brand standards Reorder or pick up supplies to support treatments, retail, and smooth clinic flow Qualifications Previous experience as a Receptionist, Front Desk Coordinator, or Office Administrator (spa, salon, or medical environment preferred) Excellent customer service and communication skills—friendly, professional, and confident Strong computer literacy (we use MacBooks): Gmail, Shopify and Boulevard or similar POS systems Exceptional organization and attention to detail Ability to multitask effectively and maintain a calm, positive demeanor in a busy environment Experience with inventory, retail, or vendor ordering preferred Familiarity with social media platforms for communication and updates Reliable, punctual, and dedicated to maintaining the clinic's high standards of service and presentation Why You'll Love Working Here Beautiful, professional environment focused on skincare and wellness Supportive, close-knit team that values collaboration and positivity Opportunity to grow within a high-end, client-centered clinic Employee discounts on services and skincare products
Job Type:
Part-Time (~24 hrs/week)
Schedule:
Day shifts, Monday-Saturday (subject to clinic hours)
Pay:
$11.00 - $18.00 per hour, based on experience
