Job Description
Primary Responsibilities Customer Service Welcome clients warmly during pet drop-offs and pick-ups. Build positive relationships with new and returning customers. Answer incoming phone calls, emails, and customer inquiries professionally. Provide detailed information regarding boarding, daycare, grooming, vaccinations, pricing, policies, and facility procedures. Resolve customer concerns with patience, empathy, and professionalism. Maintain confidentiality regarding client and pet information. Reservations & Scheduling Schedule boarding, daycare, grooming, temperament evaluations, and additional services. Verify vaccination records before confirming reservations. Update customer accounts with accurate pet information, feeding instructions, medications, emergency contacts, and special care requests. Coordinate reservation changes, cancellations, and waitlists efficiently. Assist in managing occupancy levels to maximize boarding capacity while maintaining quality care. Administrative Duties Process payments using cash, credit cards, and other payment methods. Balance the cash drawer and maintain accurate financial records. Maintain organized filing systems and electronic customer records. Prepare daily reports, reservation schedules, boarding agreements, waivers, and other client documentation. Assist management with office organization and administrative projects. Ensure all required paperwork is completed accurately and efficiently. Animal Care & Facility Support Safely handle and escort dogs to and from the lobby, boarding areas, daycare, and grooming appointments using proper leash-handling techniques. Assist with the daily care of dogs and cats, ensuring each pet receives individualized attention. Prepare and provide meals according to each pet's feeding schedule, including special diets and medications mixed with food when required. Provide compassionate care for puppies, senior (geriatric) pets, and animals with special medical or behavioral needs by following individualized care instructions. Walk dogs for bathroom breaks and light exercise while ensuring their safety and well-being. Monitor pets for signs of illness, injury, stress, or behavioral changes and promptly communicate concerns to management. Ensure fresh water is available and monitor pets' food and water intake when required. Clearly communicate feeding instructions, medications, behavioral concerns, and special care requirements with kennel attendants and management. Assist kennel staff during busy periods with feeding, walking, cleaning, laundry, and general pet care duties as needed. Occasionally assist with safely handling leashed dogs during check-in and check-out. Monitor lobby safety for pets and customers during busy periods. Maintain a clean, organized, and welcoming reception area while helping keep kennels, cat rooms, food preparation areas, laundry areas, and common spaces clean and sanitized. Stock office supplies, retail products, and customer materials as needed. Help maintain a calm, safe, and positive atmosphere throughout the facility. Communication & Teamwork Communicate client instructions clearly with kennel attendants, groomers, and management. Notify staff of special feeding requirements, medications, behavioral concerns, medical conditions, or other special requests. Coordinate efficient check-in and check-out procedures. Maintain clear communication between departments to ensure every pet receives individualized care.
