Experience :
2-3 years prior paid related work experience in an office setting, including operating a multi-line phone system. Familiarity with Microsoft Office programs Word and Excel.
Qualifications :
Good oral and written skills. Must have the ability to multi-task. Proficiency and accuracy in typing, data entry/computer skills, and general secretarial duties. Adaptable, responsible, cooperative, patient, ethical, and personable. Good social skills in dealing with the general public and clients, customer service skills. Ability to calmly interact with clients under stressful situations. Understanding of unique needs of clients served helpful. Ability to communicate and work closely as a team within departmental shared duties.

None Position Summary :
Welcomes and assists in-person visitors/clients while operating a multi-line telephone system to answer incoming calls and direct callers to appropriate staff members. Maintains & schedules appointments for agency psychiatrists. Provides support to various departments as needed, including Crisis and Intake/Outpatient Services.
Essential Duties and Responsibilities :
I.
Receptionist Duties:
¨ Welcoming patients, confirming identification and insurance, preparing documents, and processing co-pays. ¨ Learns community resources and gives referrals as appropriate. ¨ Schedule appointments for clients and assist staff in maintaining appointment schedules for ongoing clients and groups. ¨ Greet clients and provide orientation information and intake forms for completion. Assist clients with completion of forms, if necessary. ¨ Route telephone calls and messages to appropriate staff. ¨ Assist Finance Department in continuous update of client financial information. ¨ Maintain supply of forms to be used in the treatment of agency clients or client applications, other materials as directed. ¨ Active participant in emergency response procedures and evacuation announcements. ¨ Open and close agency (transfer phones; lock/unlock doors & files, etc.) ¨ Provide a wide range of support to the Crisis and Intake/Outpatient Services programs by triaging service requests, obtaining necessary information to determine appropriate services, and scheduling intake and post-hospital discharge appointments. ¨ Provide information about Alternative Paths service array and available resources in Medina County ¨ Serve as the initial voice and point of contact for service navigation and linkage to Outpatient Services, a conduit to Crisis Services, and promote the provision of safety, recovery and resiliency, hope, efficiency, and service excellence ¨ Work closely with the Outpatient Services Manager regarding mainstream and post-hospital discharge pre-admissions. II.
General Duties:
¨ Assist other personnel (clinical and support) in data input, and other assorted tasks. ¨ Help with special projects as requested by the supervisor or Executive Director. ¨ Attends training meetings related to Crisis Intervention Services, Receptionist position, or the general welfare of the Agency/staff/clients. The above listed responsibilities are not intended to be all inclusive and do not exclude any other functions customarily performed by a Receptionist which may from time to time be requested by the immediate supervisor or the CEO. Work schedules may vary according to the need of the agency.
