Job Description

Alta Care Group is currently seeking a Receptionist for our Head Start Program. The receptionist is responsible for providing general office support within an Alta Head Start preschool to ensure smooth and seamless business operations. The receptionist is expected to create a warm and friendly reception area by greeting visitors, answering phones, and supporting Head Start Staff appropriately.

Essential Functions:
  • Answers phone calls in a friendly and courteous manner and forwards to the appropriate staff based on the need of the caller.
  • Greets parents, children, and other walk-ins in a friendly and inviting manner, ensures proper building protocols are followed.
  • Creates documents in all Microsoft office programs as needed, ensuring accuracy, creativity, etc.
  • Makes copies, scans documents, sends and receives faxes and emailing, disseminating to appropriate staff.
  • Ensures office machines are maintained appropriately, i.e. ordering and refilling paper, toner, etc.
  • Utilizes tracking log to track incoming documents and disseminate appropriately.
  • Opens, logs, and distributes incoming mail.
  • Treats children, parents, and other individuals respectfully and always maintains confidentiality.
  • Ensure reception area is kept neat and orderly.
  • Provides support for meetings such as the distribution of meeting agendas, minutes, reports, handouts, etc. as needed.
  • Has a general knowledge of Head Start Performance Standards and ODJFS licensing requirements.
  • Manage and inventory offices supplies.
  • Supports management staff/supervisors with a variety of tasks as requested.
  • All other duties as assigned.
Qualifications:
  • Must be able to pass BCI/FBI background check in accordance with ODJFS Licensing regulations.
  • Must be able to pass a medical exam in accordance with ODJFS licensing Regulations.
  • Must be able to provide documentation of being free from communicable tuberculosis in accordance with Head Start Standards.
Education and Experience:
