Serves as the primary front office contact for the Comanche Nation Child Care Program and provides receptionist, clerical, and administrative support to program administration and staff. Greets and assists visitors, answers and directs telephone calls, receives and routes program documents, maintains organized records, and supports routine office operations. Regularly interacts with parents/guardians, childcare providers, Tribal employees, community partners, vendors, and the public and must demonstrate professionalism, confidentiality, accuracy, organization, and excellent customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Greet and assist visitors; determine the nature of the visit and direct individuals to the appropriate staff member or program area. Answer incoming calls, provide approved general program information, take accurate messages, and route calls appropriately. Receive applications, forms, timesheets, verification documents, correspondence, deliveries, and other materials and route them to appropriate staff. Provide approved forms, applications, checklists, brochures, and general informational materials; refer eligibility, case specific, complaint, and policy questions to authorized staff. Date stamp, sort, scan, copy, fax, mail, distribute, and file documents and correspondence. Maintain organized electronic and paper filing systems and protect confidential applicant, parent, child, provider, employee, and financial information. Prepare routine correspondence, letters, memos, spreadsheets, forms, labels, sign in sheets, informational packets, and other program materials as assigned. Perform data entry and routine updates to program records, spreadsheets, contact lists, mailing lists, and tracking systems. Assist with appointments, calendars, meetings, conference room scheduling, staff/provider meetings, trainings, outreach activities, community events, and special projects. Monitor office supplies and public information materials and notify appropriate staff when items need to be reordered or replenished. Provide administrative support to the Child Care Administrator, Co Administrator/Program Manager, specialists, and other program staff as assigned. Follow Child Care Program and Comanche Nation policies, procedures, funding requirements, confidentiality standards, and perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES AND REPORTING
: No supervisory responsibilities. Reports to the CCDF Co Administrator/Program Manager.
PHYSICAL DEMANDS
: Employee must be able to sit, stand, walk, bend, reach, grasp, speak, hear, see, and engage in repetitive motions associated with general office work. Must be able to operate standard office equipment and occasionally move or lift office supplies, files, or equipment.
Work Schedule:
Monday through Friday, 8:00 a.m. to 5:00 p.m.; occasional schedule adjustments, evenings, or weekends may be required for program events.
Travel Required:
Occasionally, for meetings, errands, outreach, trainings, or program events.
WORK ENVIRONMENT
: Professional office environment with frequent interaction with families, childcare providers, Tribal employees, community partners, vendors, and the public. Work requires discretion and the protection of confidential and sensitive information. The employee is expected to maintain a professional, courteous, organized, and service oriented work environment.
QUALIFICATIONS
High school diploma or GED required. At least one year of clerical, receptionist, administrative support, customer service, or related office experience preferred. Experience in a Tribal program, childcare program, social service program, or other public facing office environment preferred. Knowledge of general office practices, recordkeeping, customer service, and confidentiality requirements. Ability to operate computers, printers, scanners, copiers, multi-line telephone systems, and other standard office equipment. Working knowledge of Microsoft Word, Excel, and Outlook; ability to learn program specific software, databases, procedures, and recordkeeping requirements. Ability to communicate professionally in person, by telephone, and in writing; organize records; manage multiple tasks and interruptions; and work independently and cooperatively. Valid driver license for required duties that include errands, meetings, outreach, or program events away from the office. This position does not independently determine eligibility, approve childcare assistance, establish copayments, authorize provider payments, or interpret program policy.
