This is an early-career administrative position that combines reception, general office support, and administrative support for our legal assistants and firm manager. No legal experience is required—we will train the right person on the legal-specific aspects of the job. Please read the entire posting and follow the application instructions carefully. You'll work closely with our legal assistants, paralegals, and firm administrator to help keep the office and our day-to-day work running smoothly. You'll also have the opportunity to learn about our many practice areas, including litigation, business, real estate, bankruptcy, and more. Reception & Office Support Examples of responsibilities include: Help open and close the office, including tidying and preparing common areas like loading/unloading the dishwasher and restocking supplies. Welcome clients and other visitors and help prepare conference rooms for meetings. Monitor the conference room calendar. Monitor and restock office supplies and keep printers and other equipment ready for use. Provide general reception and office support as needed. Administrative & Legal Team Support You'll also provide administrative support to our legal assistants and firm administrator.
Examples include:
Retrieve, sort, scan, save and distribute mail as directed. Photocopy, scan, organize documents. Enter data and prepare routine letters and other documents using established templates. Make calls to courts and other offices to obtain basic information or check the status of filings. Assist legal assistants with clerical and administrative tasks that help keep client matters moving. Take on other clerical and office-oriented tasks requested by attorneys or staff. The work will vary from day to day. Some tasks will be routine, while others will require you to learn a new process or figure out how to best organize and complete an assignment. Opportunities to Grow As you become comfortable with the position, you'll have opportunities to learn additional legal-support and firm administrative tasks and take on more responsibility. For someone who is interested, there is potential to grow into more advanced legal assistant-type work, as well as firm management tasks over time. You don't need to know anything about the law to be successful in this position. We are looking for someone who is organized, dependable, professional, willing to learn, and takes pride in helping the team succeed. What We're Looking For The ideal candidate will: Have at least one year of office, administrative, customer-service, or other professional workplace experience. Experience in a professional services office is helpful but not required. Enjoy being a support resource for others and take pride in making the team's work easier. Be punctual, dependable, and comfortable working in person. Be friendly and professional when interacting with clients, visitors, attorneys, and coworkers. Take and follow directions well and ask questions when something is unclear. Be organized, detail-oriented, and able to keep track of multiple tasks and deadlines. Be adaptable and comfortable shifting priorities as the needs of the team change. Take ownership of assignments and follow through to completion. Have strong written and verbal communication skills, including good grammar, spelling, and proofreading. Be comfortable learning and using technology, including Microsoft Office and Adobe Acrobat Pro. We work primarily in a Windows environment. Maintain strict confidentiality regarding client and firm information. Be willing to learn new duties and develop new skills as the needs of the team evolve. Schedule & Compensation This is a full-time, in-person position, with an anticipated schedule of approximately 37.5-40 hours per week, Monday through Friday. A typical schedule would be 8:30 a.m.-5:00 p.m., though we can provide some flexibility for work to occur as early as 7:30 a.m. or as late as 5:30 p.m. Further flexibility may be possible.
