Typing Full Job Description Job Summary:
The Patient Intake Specialist is responsible for greeting patients, assisting with questions, obtaining demographic and insurance information from patients, accurately entering information into EPIC, effectively communicate with other departments, and scheduling appointments as necessary.
Duties/Responsibilities:
Verify check-in appointment times. Inform necessary department if the appointment is running late. Review patient appointment notes and ancillary orders to determine if additional scans are needed. Update patient demographics (verify name with ODL), marital status, employer, emergency contact, PCP, etc. Create and/or verify guarantor on visit. Create and/or verify correct insurance coverage on visit. Update payer-filed name if different on card. Enter/verify insurance policy and group number, claim address, and any yield/stop signs that can be corrected. Verify insurance eligibility by checking the associated website. Scan ID's and insurance cards Collect HIPAA and COA signatures Direct patients in completing questionnaires, ABN, ROI, or other forms that are applicable before their scheduled appointment. Provide patients the correct slips as needed (ex: burn CD, multiple modality, etc.) Collect payments if applicable Ensure service animal protocol is executed. Obtain orders from Dr. Office and process into EPIC if no orders are on current file. Assist patients getting in touch with scheduling department if other orders are needed to be scheduled. Assist walk-in patients and create new guarantor/cvg. Review the technician's worklist and inform walk-in patients where they are at on the waitlist. File orders alphabetically into the "alligator" filing system, and place miscellaneous faxes in respective mailboxes (ex: med recs, workflow, radiologist boxes, etc.) Load printer paper and replace ink cartridge as needed. Create ancillary order and scan documents into EPIC (send secure chats to schedulers, add flags, and write notes as needed). Review and update patient demographics per order information. Fax orders back to Dr.'s office or call as needed. Answer incoming phone calls and check voice mail regarding patient orders. Manage list of names waiting on orders by fax machine. Obtain wet read calls and get patients connected with the Dr. in the waiting room. Stock/order paper, ink, sticky notes, pens, tissues, etc. Make copies of forms, and questionnaires as needed. Manage lost and found Close cash drawers, lock up cash and reports in the safe. Close/open front doors at the beginning of the day. Review emails/secure clients and communicate with the team to stay up to date on changes/new policies/etc.
Required Skills/Abilities:
Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Strong analytical and problem-solving skills. Ability to read, understand and follow written instructions
Education and Experience:
High school diploma or GED. At least two years related experience (preferred). Experience working in EPIC (preferred).
Physical Requirements:
Sitting for 7-8 hours/day. Requires eye-hand coordination, finger dexterity. Must be able to view computer screens for long periods. Ability to read on computer screens and type on computer keyboards required.
