The ideal applicant will demonstrate a professional demeanor while managing a range of responsibilities that contribute to the overall efficiency of the office environment and atmosphere. PRIMARY RESPONSIBILITIES INCLUDED BUT NOT LIMITED TO
Greet and welcome visitors, clients, and staff in a professional manner. Pick up mail from the post office and street mailbox regularly. Answering incoming calls, taking messages and managing calendar as needed. Manage the reception, printer/mail area and kitchen area keeping it stocked, clean and organized. Coordinate and retrieve lunch orders for office. Maintain office supplies and kitchen inventory, placing orders when needed. Oversee incoming and outgoing mail, packages and deliveries. Schedule and coordinate appointments and meeting rooms, ensuring no scheduling conflicts, and setting up virtual meetings as needed. Assist office with filing, distribute files every morning and oversee document management. Provide general administrative support to staff and partners. Ensure office equipment (printers, copiers, phones, water dispensers, etc) are functioning properly. Typing and transcribing tasks as needed. SKILLS Strong verbal and written communication skills Professional phone etiquette Proficiency with Microsoft Word, Excel, and Outlook (WordPerfect experience a plus) Organizational and time management abilities Experience with document management systems Strong attention to detail and ability to manage multiple priorities and deadlines Ability to work both independently and collaboratively in a team environment Customer service and interpersonal skills Problem-solving and resourcefulness Adaptability and willingness to learn Discretion and confidentiality Calendar and scheduling management Familiarity with office equipment (printers, copiers, phone systems)
