Essential Duties and Responsibilities:

Responsible for the professional and efficient managing of visitors, consumers, telephone calls and messages, as well as a variety of clerical duties that support consumer services.

Specific Duties:

Promptly and courteously receive all telephone calls and visitors

Assist families in navigating and accessing needed services and supports

Provide referrals to appropriate in-house departments or external services

Assess and log received calls and direct or relay messages

Assist with data entry into the Agency's client management system

Schedule and coordinate arrangements for meetings; maintain conference room schedule

Prepare and process outgoing mail and timely deliver mail to post office

Open and date stamp delivered mail and sort for distribution

Greet clients and visitors, assist them with their needs, complaints, or problems and/or direct them to the appropriate party

Provide clerical support to Agency staff

Attend trainings sessions, workshops and/or meetings that will enhance services to clients and visitors

Perform routine office tasks necessary for the operation and presentation of a professional office

Assist administrative staff with overflow work, including word processing, data entry and research tasks

Document and verify client eligibility when necessary

Other duties may be required Education and/or

Work Experience Requirements:
  • Completion of standard high school education or equivalent education and experience in office administration.
  • Excellent customer services skills and excellent written, verbal and interpersonal communication skills.
  • Ability to adapt to a variety of situations and individuals, ability to work independently and work on team projects
  • Ability to follow oral and written instructions.
  • Ability to maintain confidentiality regarding all agency business, employee and client matters.
  • Ability to develop and maintain an understanding of eligibility criteria and policies related to various federal and local public benefits programs.
  • Skilled in working with office equipment, photocopiers, facsimile machines, computers, typewriters, calculators, etc.
  • Excellent computer skills including Word, Excel, and PowerPoint.
  • Commitment to providing services with a client centered focus and within an atmosphere of dignity and respect.
  • Valid PA driver's license, reliable transportation, vehicle insurance to comply with Agency standards of coverage, and willing to travel in all the counties we serve, and other counties as required.
  • Federal Bureau of Investigation (FBI) fingerprint processed in accordance with Public Law 92522 and Child Protective Services Law (Title 23, PA C.S. Chapter 63), Federal Criminal History Background Check
  • Pennsylvania Child Abuse History Clearance
