Job Description
Overview We are seeking a dynamic and welcoming Front Desk Agent to be the first point of contact for visitors, clients, and team members. This energetic role requires a proactive individual who thrives in a fast-paced environment, providing exceptional customer service while efficiently managing administrative tasks. As a Front Desk Agent, you will play a vital role in creating a positive impression of our organization and ensuring smooth daily operations. Your organizational skills, friendly demeanor, and technical proficiency will contribute to a professional and inviting atmosphere. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle front desk responsibilities including check-ins, appointments, and visitor sign-ins Maintain organized filing systems, data entry records, and ensure all documents are accurately proofread and filed Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks Support office operations by managing calendars, scheduling appointments, and coordinating meetings Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory Assist with bookkeeping tasks and basic bookkeeping using QuickBooks or similar software when needed Provide excellent customer support by addressing inquiries promptly via phone or email and offering assistance as required Ensure the reception area remains tidy, professional, and welcoming at all times Experience Prior office management or administrative experience in a busy environment is highly preferred Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience handling multi-line phone systems with professionalism and clear communication skills Bilingual abilities are a strong plus to effectively serve diverse clients and visitors Previous roles such as dental or medical receptionist or personal assistant experience are advantageous Familiarity with clerical tasks such as data entry, filing, proofreading, calendar management, and time management skills are essential Knowledge of bookkeeping practices using QuickBooks or similar accounting software is desirable Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting Join us as a Front Desk Agent to be the friendly face that sets the tone for our organization!
