Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Answer multi-line phone systems efficiently, demonstrating professional phone etiquette and providing accurate information or directing calls appropriately. Manage front desk operations, including handling incoming and outgoing mail, filing, and maintaining a tidy reception area. Assist with office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Support administrative duties including data entry, word processing, proofreading documents, and maintaining organized files. Provide exceptional customer support by addressing inquiries, resolving issues promptly, and communicating effectively with clients and staff. Utilize computer skills to operate office equipment, update records in Microsoft Office applications, and ensure smooth office workflow. Qualifications Bilingual proficiency is highly preferred to serve diverse clients and team members effectively. Proven office management or administrative experience in a busy environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with multi-line phone systems. Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Demonstrated customer service skills with a friendly demeanor and professional phone etiquette. Clerical experience including filing, data entry, proofreading, and calendar management. Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks. Personal assistant experience or previous front desk roles are advantageous.
