Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette. Handle all front desk duties including scheduling appointments, managing calendars, and coordinating meetings. Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools. Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software. Assist with clerical tasks including proofreading documents, managing correspondence, and supporting administrative projects. Provide customer support by addressing inquiries via phone or email with professionalism and clarity. Requirements Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Experience with multi-line phone systems and professional phone etiquette. Bilingual abilities are highly desirable to serve diverse client needs effectively. Knowledge of medical or dental receptionist duties is a plus; familiarity with bookkeeping or QuickBooks is advantageous. Previous experience in customer service roles demonstrating strong interpersonal skills. Ability to handle confidential information discreetly while maintaining accuracy in recordkeeping.
