Job Summary We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to clients, visitors, and team members. Your technical proficiency with office management software, Microsoft Office suite, and data entry will ensure smooth daily operations. This position offers an exciting opportunity to utilize your clerical skills, bilingual abilities, and office experience to create a positive first impression and support our administrative functions. Duties Greet and assist visitors professionally, ensuring they feel welcomed and attended to promptly Maintain accurate records through data entry, filing, and proofreading of documents Handle scheduling tasks such as calendar management and appointment setting using office productivity software Support office management activities including bookkeeping, filing, and inventory tracking with QuickBooks and spreadsheets Provide customer support by addressing inquiries via phone or email, ensuring clear and effective communication Assist with general administrative duties such as word processing, document preparation, and organizing client files Coordinate with team members to ensure smooth office operations and timely completion of tasks Experience Proven clerical or administrative experience in an office environment, preferably in a medical or dental setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software Experience managing multi-line phone systems and providing excellent customer service Bilingual skills are highly desirable to effectively communicate with diverse clients and visitors Familiarity with QuickBooks for bookkeeping tasks is a plus Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Previous experience in front desk roles such as medical receptionist or personal assistant is advantageous Join us in delivering outstanding front desk support that keeps our operations running smoothly while creating a welcoming environment for all!
