Job Description

Job Summary:
The Washington Area Humane Society is seeking an energetic and dedicated Full-Time Front Desk Receptionist to join our dynamic team at a community-focused organization that serves animals and families. In this vital role, you will be the welcoming face of our clinic, food bank, and animal shelter, ensuring smooth daily operations through exceptional customer service and efficient administrative support. Your positive attitude and organizational skills will help create a warm environment for clients, visitors, and staff alike. This position offers an exciting opportunity to contribute to a compassionate cause while developing valuable office management experience. The position is Tuesday-Saturday 8:30 am
  • 5 pm.
Primary Duties:
(to include but not limited to)
  • Answer incoming calls, check voicemails, log and return promptly
  • Consistent presence at the front desk
  • Greet all patrons to the WAHS in a professional, helpful manner
  • Take payments and help schedule clinic and surgery appointments
  • Help in unloading and counting donations
Additional Duties:
  • Functions as an administrative assistant when needed by different departments.
  • Have a thorough understanding of all WAHS programs and services
  • Help in unloading and counting donations
  • Maintain and clean front reception area and public spaces
  • Seek assistance in resolving customer service issues from other managers
  • Prepare receipts for all customers who bring donations to the front desk
  • Assist potential pet adopters in the completion of the adoption application
  • Communicate effectively with all potential adopters
  • For approved applications, perform the adoption contract process, carefully reviewing all points on the contract. Obtain signatures, as required
  • Collect stated adoption fee(s), enter in cash receipts and place in cash drawer
  • Perform surgery check in/check out process, assuring that all releases are completed and signed. Collection stated fee(s), enter in cash receipts and place in cash drawer
  • Be knowledgeable in all office equipment
  • Answer correspondence (written, verbal, email, etc.) in a timely and professional manner
  • Enter animal information for clinics and spay days as needed
Qualifications:
  • Two years of experience preferred working front desk in veterinary office, shelter or other medical facility that involved high call volume, customer interaction and scheduling
  • Fulltime position Tuesday
  • Saturday with ability to work flexible hours and weekends and some holidays
  • Must have compassion for animals
  • Contingent on clean background check
  • Minimum high school diploma or GED required. Associate Degree or higher preferred
  • Must be organized and have ability to take instruction
  • Ability to diplomatically interact with diverse people
  • Knowledge of Windows based software, specifically Word, Excel and PowerPoint preferred
  • Valid PA driver's license and satisfactory driving record
