Responsibilities Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems efficiently, directing calls accurately and professionally Manage appointment scheduling and calendar coordination using productivity software and calendar management tools Handle data entry tasks with precision, maintaining organized filing systems and digital records Perform clerical duties including filing, photocopying, scanning, and word processing using Microsoft Office applications Assist with office management tasks such as supply inventory, mail distribution, and basic troubleshooting of office equipment Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and clear communication skills Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes Excellent computer literacy and technical proficiency in office management tools Prior experience with multi-line phone systems and front desk operations preferred Bilingual abilities are a plus to effectively communicate with diverse clients and team members Strong customer service skills with a friendly, professional demeanor Ability to manage time efficiently while handling multiple tasks in a fast-paced environment Previous personal assistant or administrative experience is advantageous but not required Join our team as a Receptionist where your organizational talents, technical skills, and positive attitude will make a meaningful impact every day!
