Job brief We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our providers and office manager, assisting in daily office needs, and managing our company's general administrative activities. Responsibilities Answer and direct phone calls, return voicemail and other client contacts Monitor new client referral sources Organize and schedule appointments for both new and existing clients Collect patient payments Resolve unpaid accounts Plan meetings and take detailed minutes Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Update and maintain office policies and procedures Order office supplies and research new deals and suppliers Maintain contact lists Provide general support to visitors Act as the point of contact for internal and external clients Liaise with providers and office manager to handle requests and queries Resolve basic technical problems (internet, music, EMR, etc.) Requirements and skills Proven experience as an Administrative Assistant, Virtual Assistantor Office Admin Assistant Knowledge of office management systems and procedures (Microsoft 360) Working knowledge of office equipment, like printers and fax machines Excellent time management skills and the ability to prioritize work flow Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School Diploma or GED Additional qualification as an administrative assistant or Secretary will be a plus Customer service skills for mental health population Conflict resolution skills Strong confidentiality awareness Job Duration Full-time/Permanent Employee Requirements The ideal candidate is responsible and patient with the clients and shows excellent professionalism.
