Job Description

We are seeking a professional, friendly, organized, and dependable Admissions & Front Desk Coordinator to support our students, prospective students, staff, and daily school operations. This position serves as one of the first points of contact for the Institute and plays an important role in providing excellent customer service while assisting with admissions, student enrollment, payments, records, scheduling, and front-office administrative duties . The ideal candidate is comfortable working in a fast-paced educational environment, communicates professionally, follows established procedures, and is able to manage multiple responsibilities with accuracy and confidentiality. Key Responsibilities Admissions & Enrollment Respond to prospective student inquiries by phone, text, email, and in person. Provide accurate information regarding IHMI programs, admission requirements, class schedules, tuition, deposits, and enrollment procedures. Assist prospective students with completing applications and enrollment documents. Follow up with applicants regarding missing documents, enrollment requirements, orientation, and upcoming start dates. Schedule admissions appointments and student meetings. Assist with student registration and onboarding. Enter and update student information in the school's student management systems. Maintain accurate applicant and enrollment records. Help ensure enrollment files are complete before students begin their programs. Communicate important enrollment deadlines and requirements to students. Payments & Student Accounts Accept and accurately process student tuition payments, deposits, fees, and other authorized payments. Provide receipts and appropriate payment documentation. Post payments to student accounts according to school procedures. Assist students with general questions regarding balances and payment due dates. Contact students regarding upcoming or past-due payments as directed. Maintain confidentiality when handling financial and student information. Reconcile daily payment activity and report discrepancies to management. Follow IHMI procedures for cash, card, electronic, and other approved payment methods. Escalate payment disputes, refund requests, or account adjustments to authorized management rather than making unauthorized financial decisions. Front Desk & Customer Service Greet students, visitors, instructors, vendors, and prospective students professionally. Answer incoming telephone calls and route messages appropriately. Monitor and respond to general office communications. Maintain a professional and organized reception area. Assist students with routine questions and direct academic, financial, or clinical concerns to the appropriate staff member. Schedule appointments and maintain appropriate calendars. Receive and distribute mail, deliveries, forms, and other correspondence. Assist with student check-in for orientations, classes, testing, and other scheduled activities. Student Records & Administrative Support Scan, upload, file, and organize student documents. Assist with maintaining student records according to IHMI policies. Help collect required documents such as identification, certifications, prerequisite documentation, and enrollment forms. Assist with records requests and preparation of approved student documents. Perform data entry and maintain accurate electronic and paper records. Prepare basic letters, forms, spreadsheets, reports, and correspondence. Assist with printing, copying, filing, and assembling student materials. Maintain office supplies and notify management when supplies need to be reordered. Support instructors and administrative staff with routine office needs. Required Skills & Qualifications High school diploma or GED required; additional education or administrative training preferred. Previous experience in reception, admissions, customer service, healthcare, education, or administrative support preferred. Strong customer service and interpersonal skills. Professional telephone, email, and written communication skills. Strong computer skills and ability to learn new software quickly. Experience with Microsoft Office, Google Workspace, spreadsheets, electronic records, or similar systems preferred. Ability to accurately handle payments and basic financial transactions. Strong organizational and time-management skills. Ability to multitask and prioritize responsibilities in a busy office. Strong attention to detail and accuracy. Ability to maintain confidential student, employee, and financial information. Dependable, punctual, and able to follow established policies and instructions. Ability to work independently while also functioning effectively as part of a team. Able to pass Background and Drug Test Bilingual candidates are encouraged to apply. Preferred Experience Experience in any of the following areas is especially helpful: College, career school, or healthcare education admissions Student enrollment or student services Medical or healthcare office administration Payment processing or accounts receivable Customer service or sales Electronic student information systems QuickBooks or similar accounting/payment software Google Workspace CRM or lead-management systems Professional Expectations The Admissions & Front Desk Coordinator represents Inspire Health Medical Institute and is expected to maintain a professional, welcoming, and student-focused demeanor at all times. The employee must protect confidential information, communicate accurately, follow established school policies, and avoid making promises or commitments regarding enrollment, financial arrangements, refunds, academic standing, or regulatory matters without proper authorization.
