This energetic role involves managing front office operations, providing exceptional customer support, and ensuring smooth administrative workflows. Duties Client & Visitor Experience:
Greet clients, prospective new clients (PNCs), visitors, and vendors promptly and professionally.Appointment Coordination:
Verify scheduled appointments and notify the appropriate team member upon arrival.Check-In Support:
Assist PNCs with check-in procedures and direct them to the appropriate meeting location.Reception Area:
Maintain a clean, organized, and welcoming reception area throughout the day.Office Security:
Monitor the front entrance and help maintain a secure and professional office environment.Phone Support:
Answer incoming calls promptly and professionally, provide assistance when appropriate, and route calls to the correct team member.Payment Processing:
Accurately and efficiently process payments from prospective and current clients.Mail & Deliveries:
Receive, sort, and distribute incoming mail and deliveries.Administrative Support:
Assist with general administrative tasks and provide support to the team as needed.Events & Special Projects:
Support firm events, meetings, and special projects as requested.Applications:
Utilize computer skills including Microsoft Office applications and Word processing to produce documents and reports. Skills Exceptional customer service skills combined with clerical experience to support client communication and support functions Communicate clearly, courteously, and professionally with clients, visitors, vendors, and team members Proficiency in Microsoft Office Suite (Word, Outlook) and familiarity with data entry tools Excellent phone communication skills with proper phone etiquette across multi-line systems Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Demonstrate teamwork and a willingness to assist colleagues Maintain a high level of organization, attention to detail, and efficiency The ideal candidate is professional, friendly, dependable, and highly organized , with excellent communication and customer service skills. This individual should be comfortable managing multiple priorities in a fast-paced office environment while maintaining a calm, positive, and welcoming presence.Minimum Qualifications:
2+ years of experience in an office or administrative setting , with a strong background in customer service. Demonstrated ability to communicate professionally and effectively with clients, customers, and colleagues. Experience managing multiple tasks , prioritize responisbilities, and maintaining a professional office environment. David W.
