Job Description
Job Overview We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team! In this vital role, you will be the first point of contact for clients and visitors, ensuring a warm and professional experience. You will manage a variety of administrative tasks, coordinate office operations, and provide exceptional customer support. Your proactive attitude and excellent communication skills will help keep our office running smoothly and efficiently. Duties :
Answer multi-line phone systems promptly, directing calls accurately and courteously Manage calendar appointments, schedule meetings, and coordinate office events Perform data entry tasks using productivity software such as Microsoft Office, Google Workspace, and spreadsheets Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents Handle correspondence including emails, letters, and proofreading documents for accuracy Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management activities such as ordering supplies, managing inventories, and maintaining office equipment Financial Support; Process basic invoices, expense reports and simple bookkeeping.Compliance Documentation:
Organize and maintain highly confidential audit trails, regulatory filings, and board meeting minutes.Subsidiary Coordination:
Act as a central communication hub between the parent holding company and the executives at individual bank subsidiaries. Back up to Payroll Specialist Requirements Proven clerical or administrative experience in an office setting with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent computer literacy with the ability to learn new software quickly Strong phone etiquette skills with experience managing multi-line phone systems Demonstrated customer service skills with a friendly and professional demeanor Ability to handle data entry accurately while maintaining high productivity level Knowledge of office management procedures including filing, calendar management, and document proofreading Technical proficiency in using spreadsheets, typing efficiently, and managing time effectively Strict adherence to data privacy laws and insider trading regulations Join us to be part of a vibrant team where your organizational talents and positive attitude will make a real difference!
