Job Description

The Front Desk Receptionist serves as a primary point of contact for patients and is responsible for creating a polished, welcoming, and efficient experience from arrival through departure. This position supports patient scheduling, registration, communication, payments, and front-office operations while maintaining professionalism, discretion, and attention to detail expected at Advanced Skin & Laser Center. Essential Responsibilities Patient Experience & Front Office Welcome and assist patients with professionalism, warmth, and discretion. Complete patient check-in and check-out accurately and efficiently. Maintain a polished, organized, and patient-ready reception environment. Respond appropriately to patient questions and concerns involving clinical staff or management when needed. Protect patient privacy and confidentiality in accordance with HIPAA and practice standards. Scheduling & Communication Schedule, reschedule, and cancel appointments according to established protocols, ensuring the correct provider, service, and appointment duration. Answer telephone calls and electronic communications promptly and professionally. Provide patients with appropriate non-clinical information regarding appointments, services, preparation instructions, and office policies. Accurately document and route clinical questions, prescription requests, and other matters requiring clinical guidance. Assist with appointment confirmations, recalls, waitlists, and patient follow-up as assigned. Registration, Insurance & Payments Maintain accurate patient demographic, contact, and insurance information. Identify registration or insurance issues and route them appropriately. Collect and accurately process copays, deductibles, coinsurance, self-pay balances, cosmetic fees, deposits, and other patient-responsibility amounts. Communicate established payment, cancellation, and financial policies clearly and professionally. Complete assigned financial reconciliation and administrative responsibilities accurately. Technology & Administrative Support Demonstrate proficiency and adaptability across multiple software platforms used for patient communication, electronic health records (EHR), scheduling, payment processing, and front-office operations. Accurately enter, update, scan, and maintain information and documents within practice systems. Maintain working knowledge of practice providers, services, policies, and procedures necessary to appropriately assist patients. Teamwork & Practice Support Collaborate with providers, clinical staff, management, and front-office team members to support efficient patient flow and a seamless patient experience. Communicate proactively regarding scheduling concerns, patient needs, workflow issues, and other matters affecting practice operations. Provide front-office coverage and assist team members as operational needs require. Participate in staff meetings, training, and practice initiatives. Perform additional responsibilities and special projects as assigned. Performance Expectations The Front Desk Receptionist is expected to: Deliver a consistently polished, attentive, and professional patient experience. Maintain accuracy in scheduling, registration, documentation, communication, and financial transactions. Work efficiently across multiple technology platforms and adapt to evolving practice systems and workflows. Manage multiple priorities while remaining composed, organized, and responsive. Demonstrate dependability, punctuality, accountability, discretion, and sound judgment. Communicate respectfully and effectively with patients and team members. Follow established policies, procedures, and management direction. Contribute positively to teamwork, patient satisfaction, and practice efficiency. Qualifications High school diploma or equivalent required. Previous medical-office, dermatology, aesthetic, hospitality, or customer-service experience preferred. Strong verbal, written, telephone, and interpersonal communication skills. Excellent organizational skills and attention to detail. Strong computer proficiency with the ability to learn and work effectively across multiple software platforms. Ability to manage competing priorities in a fast-paced specialty medical practice. Ability to maintain patient confidentiality and exercise professional discretion.
