This vital role involves managing front desk operations with enthusiasm, ensuring a smooth flow of daily activities, and providing exceptional support to visitors, clients, and team members. The ideal candidate will demonstrate excellent organizational skills, a friendly demeanor, and the ability to handle multiple tasks efficiently. Responsibilities Greet visitors and patients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, directing calls accurately and courteously Handle appointment scheduling, calendar management, and coordinate meetings for staff as needed Perform clerical duties such as data entry, filing, proofreading, and maintaining organized records Operate office equipment including computers, printers, and fax machines using Microsoft Office and Google Workspace tools Support office management tasks such as supply inventory checks, basic bookkeeping with QuickBooks, and document preparation Provide excellent customer service by addressing inquiries efficiently and supporting overall office operations with professionalism Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and phone etiquette to handle calls confidently Bilingual abilities are highly desirable to assist diverse clientele effectively Excellent organizational skills with keen attention to detail in data entry, filing, and proofreading tasks Prior office or administrative experience, including clerical duties like calendar management and time management skills Knowledge of office management practices combined with customer support expertise to ensure smooth daily operations Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows such as appointment scheduling or medical record handling Join us in creating a welcoming environment where your organizational talents and positive energy help keep our office running seamlessly.
