Job Description

Job Summary We are seeking a dedicated and detail-oriented Front Desk Scheduler/Receptionist to join our healthcare team. The ideal candidate will possess strong administrative skills, exceptional customer service abilities, and familiarity with medical office operations. In this role, you will be the first point of contact for patients and visitors, managing appointment scheduling, patient intake, and maintaining accurate medical records while supporting the overall efficiency of the clinic. Duties Greet patients and visitors professionally, ensuring a welcoming environment in accordance with clinical confidentiality policies. Schedule appointments accurately using electronic health record (EHR) system. Verify patient insurance information and assist with health insurance inquiries related to Medicare and other providers. Manage multi-line phone systems, handle patient inquiries, and provide clear phone etiquette to ensure excellent patient service. Answer incoming phone lines and route or take messages appropriately. Review and update medical documentation, including care plans, medical records, and billing information while maintaining compliance with HIPAA regulations. Perform clerical tasks such as filing, data entry (including 10 key typing), and maintaining organized paper and electronic files. File incoming faxes We are a hybrid office with some paper charts and electronic medical records. There will be some filing of paper charts. Coordinate with clinical staff to facilitate smooth patient flow and appointment scheduling as needed. Utilize Microsoft Office tools for correspondence, report generation, and data management to enhance office productivity. Produce an office supply list weekly and needed items to be ordered for front office. Experience Prior experience in a medical office setting or healthcare environment is required, preferably within an internal medicine, Family Practice. Demonstrated proficiency with EMR/EHR Knowledge of health insurance processes including Medicare billing and insurance verification procedures. Strong understanding of medical terminology, clinical confidentiality policies, and health information management practices. Excellent customer service skills with the ability to communicate effectively via phone and in person in a professional manner. Previous experience with medical coding (CPT, ICD-9/10) and medical billing processes is advantageous but not mandatory; training can be provided for suitable candidates.
