Job Description

Front Desk Receptionist - High-Volume Healthcare Office Are you the person who can keep 10 things moving at once—and somehow still greet every patient with a smile? We're looking for a high-energy, highly organized Front Desk Receptionist who loves people, thrives in a busy environment, and isn't afraid to take control of the flow. This is not a quiet front desk position where you simply answer phones and check people in. You are the air traffic controller of the practice. You know who is coming in, where they need to go, what needs to happen during their visit, what needs to be collected, who needs to be rescheduled, and what needs attention before it becomes a problem. Most importantly, you become an accountability partner for our patients. Our patients have made a commitment to improving their health. Your job is to help them stay committed to the plan.
You'll Love This Position If You:
Thrive in a fast-paced, high-volume office Can confidently manage multiple patients, providers, phones, schedules, and priorities Love talking with people and building relationships Aren't afraid to say, "We missed you! Let's get you back on the schedule." Are comfortable discussing balances and asking for payment Can kindly but confidently hold patients accountable to their treatment schedules Notice when something is falling through the cracks—and handle it Can anticipate what the clinical team needs before they have to ask Stay calm when the office gets BUSY Are willing to jump in and help wherever needed Believe great customer service can be both warm AND accountable What You'll Be Responsible For You'll help control the patient experience from the moment someone walks through our doors until they leave. That includes greeting and checking in patients, managing the schedule, answering phones, scheduling and rescheduling appointments, collecting payments, monitoring patient attendance, following up on missed appointments, helping patients stay compliant with their recommended treatment plans, communicating with the clinical team, preparing for upcoming visits, and keeping patient flow moving throughout the office. You aren't just watching the schedule. You OWN the schedule. If someone cancels, you work to fill the opening. If someone misses an appointment, you follow up. If a patient needs their next visits scheduled, you make it happen. If a balance needs to be collected, you confidently have the conversation. If the treatment team needs help keeping the day moving, you jump in. What We're Looking For Previous experience working in a busy, high-volume office is strongly preferred. Healthcare, chiropractic, medical, dental, physical therapy, wellness, or similar patient-facing experience is a major plus. We're looking for someone who is: Friendly. Confident. Organized. Accountable. Coachable. Dependable. Detail-oriented. You should be comfortable using computers and scheduling systems, communicating professionally by phone and text, handling financial conversations, and managing competing priorities without becoming overwhelmed. And yes—you need to genuinely enjoy people. This Position Probably ISN'T for You If… You prefer a slow-paced environment. You're uncomfortable asking someone for money. You avoid difficult conversations. You wait for someone to tell you what to do next. You think following up with a patient who missed an appointment is "bothering them." Or when things get busy, your first instinct is to hide from the front desk. But If This Sounds Like You… You love being the person who keeps everything moving. You take pride in knowing the schedule inside and out. You enjoy creating an incredible patient experience while still holding people accountable. And there's something strangely satisfying to you about a packed schedule, a ringing phone, patients walking through the door, and a team working together like a well-oiled machine. We want to meet you. How to Apply Please submit your resume along with a short response answering: "Tell us about the busiest office you've ever worked in. What did you personally do to keep everything organized and running smoothly?" Bonus points if you tell us why you think the front desk is one of the most important positions in a healthcare practice.
