Job Summary We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. Responsibilities Greet visitors, clients, and vendors with a warm, professional demeanor, ensuring a positive first impression. Answer, route, and manage incoming calls using multi-line phone systems with excellent phone etiquette. Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace. Manage appointment scheduling and calendar coordination for staff members or medical/dental offices as needed. Assist with office management tasks including supply inventory, document proofreading, and general clerical support. Support client communication efforts by providing timely information and responding to inquiries via phone or email. Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping. Skills Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and spreadsheet management. Excellent computer literacy with the ability to quickly adapt to new software tools. Strong typing skills with attention to detail for data entry and proofreading tasks. Exceptional customer service skills combined with effective phone communication and phone etiquette. Bilingual abilities are highly desirable to serve diverse client needs effectively. Experience with front desk operations in medical or dental settings is a plus. Knowledge of office procedures such as filing, calendar management, and document processing. Technical proficiency in multi-line phone systems, office equipment, and basic bookkeeping functions like using QuickBooks. Ability to prioritize tasks efficiently while managing time effectively in a busy environment.
