Responsibilities:

Schedule and coordinate patient appointments, manage calendars, and handle reminders for upcoming visits Greet patients and visitors, providing excellent customer service and assisting with inquiries Collect and update patient information, maintain accurate medical records, and ensure confidentiality Prepare and process insurance forms, billing statements, and other administrative documents Answer phone calls and emails, relay messages promptly to the appropriate staff Assist with medical correspondence, including drafting letters, reports, and referrals Support physicians and clinical staff with administrative tasks as needed Maintain office supplies, organize files, and ensure the reception area is tidy Follow office procedures and compliance standards, including HIPAA and other regulations

Qualifications:

High school diploma or equivalent; additional training or certification in medical administration is preferred Previous experience in a medical office setting is highly desirable Proficiency with electronic health records (EHR) and scheduling software Strong organizational skills and attention to detail Excellent communication and interpersonal abilities Ability to multitask, prioritize, and work efficiently in a fast-paced environment Knowledge of medical terminology is an asset Professional demeanor and commitment to patient confidentiality
