Job Summary We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle incoming communications, and support administrative functions to ensure smooth daily activities. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, emails, and inquiries with promptness and accuracy Maintain organized filing systems, both physical and digital, including data entry and document proofreading Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination Use productivity software like Microsoft Office (Word, Excel) and spreadsheets to prepare reports and documents Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with spreadsheets and data entry Bilingual (English and Spanish) Strong computer literacy with technical proficiency in office management software and computer skills Experience with multi-line phone systems and phone communication etiquette Knowledge of QuickBooks or similar accounting software is desirable but not required Demonstrated ability to manage time effectively in a fast-paced environment Previous customer service or front desk experience preferred; personal assistant experience is a plus This role is perfect for motivated individuals eager to enhance their administrative expertise while providing exceptional support to our organization.
