Job Summary We are seeking a dynamic and organized Office Assistant/Receptionist to be the welcoming face and efficient coordinator of our busy office environment. In this role, you will manage front desk operations, handle administrative tasks, and provide exceptional customer support to clients, visitors, and team members. Your proactive approach and technical proficiency will ensure smooth daily operations, foster positive client interactions, and contribute to a productive workplace atmosphere. Duties Greet visitors warmly, answer multi-line phone systems with professionalism, and direct calls efficiently using excellent phone etiquette Manage front desk responsibilities including scheduling appointments, maintaining visitor logs, and handling incoming correspondence Perform data entry tasks accurately within spreadsheets and client management software such as QuickBooks Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents Assist with calendar management, scheduling meetings, and coordinating appointments for staff and clients Support office management activities by ordering supplies, managing inventory, and maintaining office equipment Provide administrative support through word processing, proofreading documents, and preparing reports using productivity software Qualifications Proven experience in an office environment or as a receptionist with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tools Technical proficiency with multi-line phone systems, QuickBooks accounting software, and general computer literacy Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Strong customer service orientation with exceptional communication skills—bilingual abilities are a plus Demonstrated ability to handle confidential information discreetly and professionally Personal assistant or office management experience is advantageous but not required Join us to be part of a dedicated team where your organizational talents will shine!
