Job Description
Position Summary The Receptionist serves as the first point of contact for Basden Steel Corporation, providing front-desk, administrative, and clerical support across human resources and facilities functions. This role requires a high degree of organization, discretion, and flexibility, supporting multiple affiliated entities and departments while maintaining a professional and welcoming environment for visitors, employees, and vendors. - Serve as the first point of contact for the company; answer and route calls on the main phone line in a prompt, courteous, and professional manner.
- Greet visitors, vendors, employees and job candidates at the door in both English and Spanish; ensure they are announced to the appropriate person and maintain a welcoming, professional lobby area.
- Receive, sort, and distribute incoming mail and packages; prepare and process outgoing mail and shipments.
- Coordinate deliveries and schedule FedEx, UPS and USPS pickups; provide backup coverage for mailroom duties as needed.
- Maintain the USPS postage meter, adding funds on a weekly basis and ensuring uninterrupted mail service.
- Issue, track, and maintain accountability for facility master keys and spare keys, including logging key issuance and returns.
- Keep the kitchen and break areas stocked, clean, and organized in coordination with Karen in accounting, including ordering supplies as needed.
- Schedule recycling bin pickups and coordinate with the vendor to ensure regular service.
- Maintain a clean, organized, and professional front office and reception area at all times.
- Assist with coordination of office supplies need with Office Manager
- Assist other departments with general clerical support, such as filing, copying, scanning, and data entry.
- Assist with employee boot vouchers through the Redwing portal.
- Jump in wherever needed to help keep the office running smoothly.
- Assist with other administrative and HR tasks as needed and as assigned by management. Qualifications
- Must be bilingual (English/Spanish)
- High school diploma or equivalent required; additional coursework in office administration or accounting a plus.
- Prior experience in a receptionist, administrative, or accounting support role preferred.
- Strong organizational skills with the ability to manage multiple priorities across departments and entities.
- Proficiency with Microsoft Office (Word, Excel, Outlook); ability to learn company systems such as Sage HRIS and other programs as needed. Must be tech savvy.
- Excellent verbal and written communication skills in English and Spanish, with a professional and courteous phone and in-person manner.
- High degree of discretion and confidentiality when handling financial, payroll, and personnel information.
- Dependable, self-motivated, and comfortable working in a fast-paced, multi-entity office environment.
