Description We are looking for a detail-oriented Receptionist to serve as the first point of contact for visitors and callers in our office. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment while keeping daily front-desk operations organized and efficient. The role combines customer-facing service with administrative coordination, requiring sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced setting.
Responsibilities:
- Welcome guests and clients with a courteous approach and ensure the appropriate internal contacts are informed of their arrival.
- Manage incoming calls and direct inquiries to the correct manager, department, or client contact in a timely manner.
- Coordinate scheduling for meeting spaces, visitor offices, and related arrangements through reservation tools and shared calendars.
- Support visitors and teams in securing suitable rooms or resources by identifying options and helping resolve scheduling conflicts.
- Arrange food service for meetings and events, confirming orders are accurate and delivered as expected.
- Complete administrative support tasks such as processing expense-related items, assisting with special assignments, and maintaining organized records.
- Oversee visitor access materials, including card keys and parking validations, while tracking usage through required logs.
- Handle confidential documents and sensitive information with a high level of discretion. Requirements
- High school diploma or equivalent required; additional education or comparable relevant experience is preferred.
- At least 1 year of experience in a receptionist, switchboard, or administrative support role, ideally within a corporate, legal, or banking environment.
- Demonstrated ability to deliver strong customer service and create a positive experience for visitors, clients, and internal teams.
- Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook, along with common messaging and workflow tools.
- Understanding of standard office practices and the ability to maintain quality service in a business setting.
- Strong organizational skills with careful attention to detail and the ability to manage competing priorities effectively.
- Comfortable working independently and collaboratively in a fast-moving team environment while meeting deadlines.
- Ability to exercise sound judgment, protect confidential information, and resolve routine operational issues with appropriate escalation when needed.
