This position is responsible for managing front office operations, client scheduling, phone communications, insurance verification support, and maintaining accurate records within TherapyNotes. The ideal candidate is organized, compassionate, detail-oriented, and comfortable working in a mental health setting. Key Responsibilities Client Relations Greet clients, families, and visitors in a warm and professional manner.
Answer incoming phone calls and email communications promptly and courteously.
Provide general information about services, policies, and procedures.
Maintain client confidentiality in accordance with HIPAA regulations.
Assist clients with completing intake paperwork and obtaining required documentation. Scheduling & Appointment Management Schedule, reschedule, and cancel appointments using TherapyNotes.
Monitor provider calendars and coordinate scheduling needs.
Maintain accurate client demographics and appointment records. TherapyNotes Administration Create, manage, and update client records within TherapyNotes.
Assist clinicians with administrative functions related to TherapyNotes workflows.
Generate reports and track administrative metrics as needed. Billing & Insurance Support Verify insurance benefits and eligibility when applicable.
Collect copays, balances, and other client payments.
Process payment transactions and maintain accurate payment records.
Assist with insurance authorizations and claim follow-up as directed.
Communicate billing information to clients in a professional and compassionate manner.
File insurance claims with varying electronic insurance platforms Office Operations Maintain an organized, clean, and welcoming reception area.
Manage office supplies and place orders as needed.
Scan, upload, and securely store documents.
Coordinate mail, fax, and other office communications.
Support clinicians and leadership with administrative projects and daily operations. Qualifications Required High school diploma or equivalent.
Minimum 1-2 years of administrative, receptionist, or customer service experience.
Strong computer skills and proficiency with Microsoft Office and web-based software.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and professionalism.
Strong organizational skills and attention to detail.
Ability to multitask in a fast-paced environment. Preferred Experience working in a counseling, behavioral health, healthcare, or medical office.
