Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team!   • must be reliable, presentable, friendly and welcoming at all times; answer and properly route calls, greet visitors and direct to appropriate person(s) or conference room. Phones
  • Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using phone etiquette best practices Conference room coordination
  • reserve rooms and visiting offices ensuring no conflicts, best fit for needs; ensure coordination and problem-solve any last-minute needs and changes. Check conference room requests frequently and reserve the rooms within the day the request is made. Mail and faxes
  • must be reliable, accurate, proactive, and willing to help, ensure proper and timely delivery of both incoming and outgoing deliveries. All mail must be scanned and delivered before the end of the day. Office Services
  • responsible for ordering, maintaining inventory, and stocking office, kitchen, and conference area supplies; maintain cleanliness in kitchens, conference rooms and general areas, printing and supply areas Serve as vendor contact
  • coordinate deliveries, building services, supply orders, quotes, service contracts, etc. Facilities
  • serve as a Firm contact for facility needs, maintain working relationship with building management to ensure facility issues are addressed, ensure office remains organized and tidy Admin Support
  • assist legal assistants, attorneys, staff, and managers with projects as assigned; must possess an ability to take direction from multiple sources and prioritize work according to Firm goals. Characteristics
  • Detailed oriented, self-starter, dependable, great with communication, professional in appearance and when interacting with clients/employees.
Qualifications Good attitude, proactive willingness to help others and the Firm, attention to detail, ability to reason and consider alternative solutions to ad hoc problems Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) Familiarity with multi-line phone systems, phone communication etiquette, and front desk procedures Accurate typing; able to move around the office, lift and carry 10-40 pounds, push and pull, walk up and down stairs, sit for extended periods, and reach overhead Join us as a Receptionist/Administrative Assistant where your energy and organizational talent will make a meaningful impact every day!
