Job Description
Receptionist / Administrative AssistantJob Overview We are seeking an energetic, organized, and detail-oriented Receptionist / Administrative Assistant to support the daily operations of our corporate office. This position combines front desk responsibilities, administrative support, and customer service. The ideal candidate is professional, dependable, highly organized, and comfortable communicating with customers, store locations, vendors, and internal team members. This position will also assist with the corporate customer support hotline, helping document and route customer concerns appropriately. Key Responsibilities Greet visitors, clients, vendors, and employees in a professional and welcoming manner Answer and manage a multi-line phone system, directing calls to the appropriate person or department Assist with the corporate customer support hotline, including: Answering customer calls professionally Gathering and documenting customer concerns Collecting necessary customer and transaction information Routing or escalating concerns to the appropriate department or management team Following up on customer issues when instructed Perform accurate data entry using Microsoft Office, spreadsheets, and internal systems Maintain organized digital and physical filing systems Assist with calendar management, scheduling, meetings, and appointments Prepare emails, correspondence, reports, and other business documents Assist with office supply ordering and inventory Scan, organize, file, and maintain company documents Communicate with store managers and other departments to collect information or follow up on administrative requests Provide general administrative support to management and corporate departments Maintain professionalism and confidentiality when handling company, employee, and customer information Qualifications Previous experience in administrative support, office administration, reception, or customer service Strong knowledge of Microsoft Office, including Word, Excel, and Outlook Strong data entry and computer skills Excellent phone etiquette and professional communication skills Experience handling multi-line phone systems preferred Comfortable handling customer concerns and difficult conversations professionally Strong organizational and time-management skills Ability to multitask and prioritize responsibilities in a fast-paced office environment Strong attention to detail and accuracy Ability to work independently while supporting multiple departments Bilingual English/Spanish preferred QuickBooks or accounting software experience is a plus What We Are Looking For We are looking for someone who is professional, dependable, organized, and customer-service oriented. This person should be comfortable balancing front desk responsibilities, administrative projects, phone communication, and customer support while maintaining accuracy and professionalism throughout the workday.
Pay:
