This is an excellent opportunity for someone who is looking to begin or grow their career in an office environment. Entry-level candidates are encouraged to apply. The Front Desk Associate will serve as an important first point of contact for employees, visitors, customers, and vendors while providing administrative support to keep the office running efficiently. The ideal candidate is dependable, friendly, detail-oriented, and comfortable communicating in both English and Spanish . Key Responsibilities Answer incoming calls, provide assistance, and direct or transfer calls to the appropriate individual or department. Greet and assist employees, visitors, customers, and vendors in a professional and welcoming manner. Communicate with employees in both English and Spanish by phone, email, and in person as needed. Review, scan, and electronically file employee expense reports, ensuring forms are complete, calculations are accurate, and supporting documentation is properly included. Prepare, organize, and electronically file documents such as employee expense reports, vehicle information, invoices, shipping records, and other administrative documents. Maintain organized electronic and physical filing systems. Organize and distribute employee uniforms while maintaining accurate inventory records for uniforms and other employee-related items. Manage daily FedEx shipments, including creating shipping labels, preparing packages, scheduling pickups, tracking shipments, and assisting with resolving shipping issues . Receive and distribute incoming mail, packages, and deliveries to the appropriate employees or departments. Enter and maintain accurate information in Excel spreadsheets related to shipments, inventory, employee-related information, and other administrative activities. Monitor office supply inventory and order supplies as needed to keep the office organized, clean, and properly stocked. Maintain a professional and organized front desk and reception area. Provide general administrative support to various departments and assist with special projects as needed. Maintain confidentiality when handling employee, financial, and company information. Perform other duties and responsibilities as assigned. Qualifications Bilingual in English and Spanish required. High school diploma or equivalent preferred. Previous front desk, receptionist, office administration, customer service, or administrative experience is a plus but not required. Strong verbal and written communication skills in English and Spanish. Professional, friendly, and approachable demeanor. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities. Basic computer skills and proficiency with Microsoft Office, particularly Excel and Outlook . Ability to learn new systems and processes quickly. Ability to maintain accurate records and handle confidential information appropriately. Dependable, punctual, and able to work independently as well as part of a team.
