Job Description
Position Summary We are seeking a highly organized, detail-oriented Secretary to support daily operations within our insurance agency. This individual will serve as the first point of contact for clients while providing administrative support to agency leadership and team members. The ideal candidate is professional, dependable, and thrives in a fast-paced environment. Key Responsibilities Greet clients and provide exceptional customer service in person and over the phone Answer and direct incoming calls in a professional manner Manage calendars, appointments, and scheduling for agency staff Prepare, format, and distribute correspondence and documents Maintain client files and ensure accurate record-keeping Process incoming and outgoing mail, email, and deliveries Assist with policy documentation, data entry, and basic reporting Support the team with administrative tasks as needed Maintain office supplies and ensure front office organization Handle confidential information with integrity and discretion Qualifications High school diploma or equivalent required Previous administrative or office experience preferred (insurance industry experience is a plus) Proficiency in Microsoft Office (Word, Excel, Outlook) Strong written and verbal communication skills Excellent organizational and multitasking abilities Professional demeanor and positive attitude Ability to work independently and as part of a team Preferred Skills Experience with insurance management systems or CRM software Basic understanding of insurance terminology Strong attention to detail and accuracy Work Environment This position operates in a professional office setting and requires regular interaction with clients, agency staff, and insurance carriers.
