Under the direct supervision of the City Secretary, responsible for acting as the first point of contact for residents, customers, visitors, and callers for the City of Morgan's Point. Work involves providing professional customer service, managing front desk operations, answering and directing telephone calls, and performing a variety of routine administrative and clerical duties. Provides backup support for utility billing and accounts payable functions and assists the Administration Department with special projects and general office support as needed.
Essential Job Functions:
Greets residents, visitors, vendors, and employees in a courteous and professional manner Provides information and assistance or directs customers to the appropriate department Answers, screens, and routes incoming telephone calls Responds to routine inquiries and provides general information regarding municipal services, procedures, and events Receives and distributes messages accurately and promptly Sorts, distributes, and processes incoming and outgoing mail and deliveries Maintains organized filing systems, both electronic and paper Prepares routine correspondence, forms, and reports as assigned Orders, receives, and maintains office supplies and inventories Assists with document preparation, copying, scanning, and data entry Schedules appointments, meetings, and conference room usage as needed Provides backup support for utility billing functions, including customer account inquiries, payment processing, and related record maintenance Provides backup support for accounts payable activities, including invoice processing and filing Assists with maintaining accurate financial and administrative records Supports Administration Department staff with routine projects, special assignments, and departmental initiatives Maintains confidentiality of sensitive customer, employee, and municipal information Ensures records are maintained in accordance with municipal policies and applicable regulations Assists with records retention and document management procedures
Qualifications:
Minimum Qualifications:
High school diploma or GED One (1) year of customer service, receptionist, clerical or administrative support experience preferred Municipal government experience preferred
Knowledge, Skills, and Abilities:
Knowledge of general office practices and procedures Strong customer service and interpersonal skills Proficiency in Microsoft Office applications, including Word and Outlook Ability to communicate effectively, both verbally and in writing Ability to manage multiple tasks and prioritize workload Ability to maintain professionalism when dealing with the public Ability to operate standard office equipment, including multi-function copiers, scanners, and telephone systems Ability to maintain accurate records and attention to detail
Physical Requirements:
Ability to sit, stand, walk, and perform repetitive hand movements for extended periods Ability to occasionally lift and carry up to 25 pounds
