In this vital role, you will serve as the first point of contact for visitors and clients, manage front desk operations, and provide essential administrative support across various departments. Your proactive approach and excellent communication skills will ensure smooth daily operations, enhance client interactions, and contribute to a professional and welcoming environment. Duties Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently Maintain organized filing systems, both physical and digital, ensuring easy access to important documents Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office programs Assist with calendar management and scheduling appointments for staff members or executives Support office management activities including supply ordering, inventory tracking, and facility maintenance coordination Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client communication efforts Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills Experience with QuickBooks or similar accounting software is a plus for handling basic bookkeeping tasks Ability to operate multi-line phone systems with professionalism and clear phone etiquette Bilingual capabilities are highly desirable to effectively communicate with diverse clients and team members Excellent organizational skills with attention to detail in proofreading, data entry, and filing processes Strong time management skills to prioritize tasks efficiently in a fast-paced environment Demonstrated office management experience including calendar coordination and administrative support functions Technical proficiency in productivity software such as spreadsheets for data organization and analysis Exceptional customer service skills with a friendly attitude and the ability to handle front desk responsibilities confidently Proven clerical experience combined with effective phone communication skills for seamless client interactions Join us in creating a vibrant workplace where your organizational talents shine!
