Duties Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued Operate multi-line phone systems efficiently, directing calls to appropriate departments or personnel with excellent phone etiquette Manage appointment scheduling, calendar coordination, and meeting arrangements using Google Workspace or Microsoft Office tools Handle data entry tasks such as filing, record keeping, and updating databases like QuickBooks or other office management software Support administrative functions including proofreading documents, managing correspondence, and organizing files both digitally and physically Assist with bookkeeping activities such as invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar platforms Provide customer support by addressing inquiries promptly and professionally while maintaining high levels of service quality Requirements Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry systems Strong organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs Demonstrated experience handling multi-line phone systems and practicing professional phone etiquette Ability to type quickly and accurately while maintaining attention to detail for proofreading and data entry tasks Personal assistant experience or calendar management skills are a plus Knowledge of bookkeeping software such as QuickBooks is preferred but not required Previous customer service experience emphasizing positive interactions and problem-solving skills Join our team today to be part of a vibrant workplace where your organizational talents make a real difference!
