Job Description
Overview Garcia Legal Team, PLLC is a woman-owned law firm in Schertz, Texas, practicing immigration, estate planning, probate, business law, and real estate. We are seeking a Front Desk Coordinator to serve as the first point of contact for our clients. The matters we handle are among the most important things a person will do. A family securing lawful status. A parent putting a will in place. An estate settled so that children are provided for. Our clients arrive at these moments carrying real weight, and the way they are received determines whether they feel they have come to the right place. The role calls for poise and discretion. The person at our front desk is the first voice a client hears and the first face they see, and that impression sets the tone for the representation that follows. It is a position of genuine responsibility in this office. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression while managing multi-line phone systems with professionalism and courtesy Answer, screen, and direct incoming calls promptly using excellent phone etiquette Manage front desk operations including filing, data entry, and maintaining organized records Assist with calendar management and scheduling appointments for attorney, paralegals or clients as needed Support office management tasks such as supply inventory, mail distribution, and document proofreading Accept payments and issue receipts Provide exceptional customer service by addressing inquiries accurately and efficiently in both languages Coordinate administrative tasks including typing correspondence, updating client information, and supporting personal assistant functions when required Skills Proven experience in office management or administrative support roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy Strong organizational skills with the ability to multitask effectively in a fast-paced environment Experience answering phones on multi-line systems with professionalism and patience Demonstrated ability to handle customer support scenarios with tact and clarity Attention to detail for proofreading documents, managing files, and maintaining accurate records Excellent time management skills to prioritize tasks efficiently and meet deadlines Previous experience in front desk or reception roles preferred, along with personal assistant or calendar management experience Fluency in English and Spanish, spoken and written Sound judgment and absolute discretion with confidential information Join us to be part of a team dedicated to delivering outstanding service and solutions to our clients
