Job Overview We are seeking a dynamic and highly organized Administrative Assistant/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service.   • Performs general day to day operating tasks of The Climbing Tree as needed and as determined by supervisor including but not limited to: o Manages opening, midday, and closing duties o Assists in managing daily staff shifts, breaks, and class ratios o Assists in managing school specials, enrichments, and events o Manages phone calls (outside calls and in-school calls) o Provides classroom and kitchen support as needed o Assists in the collection of tuition, fees, and other income as directed by supervisor o Manage daily schedule and assist with daily time keeping and tracking o Assists with the inventory and stocking of supplies as directed by supervisor o Maintains the daily management communication log and reports any relevant staff agenda items for the day and week's operation o Assists parents in child drop off and pick up execution and operational procedures o Provides general clerical support for TCT administrative needs • Performs other duties as assigned by supervisor Licensing - The Administrative Assistant Is expected to be knowledgeable of all childcare licensing and health department standards and requirements and to meet or exceed those standards having to do with their position Maintains and administers child medication needs, temperature logs, and facilitates contact and follow up for children needing medical dismissal.

  • Assists with emergency preparedness and drills Assists with licensing board updates and staff communication forms Maintains posted licensing requirements including but not limited to inspection reports, monthly menu, and calendar as well as current staff rosters in compliance with childcare licensing Classroom Management - The Administrative Assistant
  • Facilitates the creation, distribution and maintenance of classroom roll call sheets, daily sign in/out sheets and any clerical classroom needs as assigned by supervisor Assist teachers as needed with classroom management, parent involvement, and areas of concern as directed by supervisor Assists teaching staff in investigation, creation, review, and approval of incident reports as determined by supervisor.
Immediately reports biting or significant behavior issues to CEC Classroom and Curriculum Coordinator Immediately addresses and reports any injuries or relevant information to the TCT Director with appropriate documentation Coordinates and establishes staff meeting requests with appropriate Coordinators or Directors Marketing - The Administrative Assistant
  • Greets and assists walk in parents and visitors, identify unfamiliar faces to confirm they are on the child's approved list
  • Keeps log of tours of facilities and assists in scheduling as directed by supervisor
  • Ensures that any required marketing materials and business documents are available to parents and staff
  • Assists with special events, including set up, hospitality, etc.
Facilities - The Administrative Assistant Complies with the use of shared space and equipment between TCT full time and part time programs and with other church programs. Complies with cleaning, maintenance, and Center for Disease Control (CDC) protocol as directed by the TCT Director. Is responsible for overall appearance and maintenance of TCT lobby, staff clock in area, library, gym, and hallways Reviews cameras for all classrooms, playgrounds, and common areas throughout the day Education and Experience A high school graduate or hold a GED, with relevant background or education in Child Development or Early Childhood education Minimum 3 prior years' experience working in a professional environment with general office skills and references. Skill Set Proficiencies Strong in administrative, interpersonal, organizational and leadership, facilitation, motivation, and team management skills Effective in planning, oral and written communication skills Great in problem-solving abilities Proficient in MS Office and other technologies
Pay:
$15.00 - $16.00 per hour Expected hours: 40.0 per week
