Position Overview Boyd, Boyd & Giddens is a Texas civil litigation defense firm committed to excellent legal representation, professional development, and exceptional client service. We are seeking a professional, organized, and dependable Receptionist and Intake Coordinator. This position serves as the first point of contact for clients, visitors, callers, and vendors while also coordinating office facilities, supplies, equipment, and potential new-case intake. The ideal candidate is friendly and professional, highly organized, comfortable handling frequent interruptions, and capable of managing multiple responsibilities through completion. This is a hands-on office coordination position for someone who enjoys helping people, solving problems, and keeping an office running efficiently. Key Responsibilities Reception and Office Support Greet clients, visitors, vendors, and other guests in a professional and welcoming manner. Answer, screen, and route incoming calls and general email inquiries. Receive and distribute mail, packages, deliveries, and correspondence. Maintain the reception area, conference rooms, and shared office spaces. Assist with meeting preparation, scheduling, and general administrative support. Case Intake Speak with individuals contacting the firm regarding potential new legal matters and gather complete preliminary information. Accurately enter intake information into the firm's intake system. Request and organize relevant documents, photographs, reports, and other supporting materials. Route potential matters to the appropriate attorney and complete follow-up communications as directed. Facilities and Office Coordination Receive, prioritize, track, and follow up on office repair and maintenance requests. Coordinate service appointments with contractors and vendors. Manage office supplies, furniture, physical equipment, deliveries, warranties, and approved purchasing. Coordinate office moves, workstation setups, furniture placement, and space-planning projects. Maintain records for keys, alarms, security vendors, facility expenses, and equipment inventory. Qualifications High school diploma or equivalent required. Prior experience in reception, office administration, customer service, facilities coordination, case intake, or a similar role. Excellent verbal and written communication skills. Professional telephone presence and interpersonal skills. Strong organization, attention to detail, and follow-through. Ability to manage frequent interruptions and changing priorities. Proficiency with Microsoft Outlook, Word, Excel, and general office technology. Reliable attendance and punctuality
