This energetic role is vital in creating a welcoming environment for visitors and clients while ensuring smooth office operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude. You will be the first point of contact, managing front desk responsibilities, handling multi-line phone systems, and providing exceptional customer service. Your administrative expertise will support daily office functions, data entry, scheduling, and document management to keep our workplace efficient and professional. Duties Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Handle incoming calls, direct inquiries appropriately, and take detailed messages when necessary Maintain a clean, organized front desk area and manage office supplies inventory Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office tools and Google Workspace Perform data entry, filing, proofreading, and document management to support administrative workflows Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Support office management activities including organizing files, managing correspondence, and overseeing clerical tasks such as copying and scanning documents Provide bilingual support to accommodate diverse client needs (if applicable) Support personal assistant duties such as calendar management and travel arrangements for staff Qualifications Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems and phone etiquette is essential Knowledge of QuickBooks or bookkeeping experience is a plus Bilingual abilities are highly desirable to serve diverse client needs effectively Strong attention to detail with proofreading capabilities for documents and correspondence Ability to prioritize tasks efficiently using time management skills in a fast-paced environment Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous but not required Demonstrated customer service excellence with a friendly demeanor and professional communication style Join us to be part of an energetic team committed to delivering outstanding service while supporting our office's smooth operation!
