Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly first impression Manage multi-line phone systems efficiently, directing calls accurately and courteously Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized front desk area, including filing, data entry, and document proofreading Schedule appointments and manage calendar arrangements for providers Support office management tasks such as inventory tracking, supply ordering, and record keeping Utilize productivity software like Microsoft Office (Word, Excel) and spreadsheets to prepare reports and documents Assist with client communication by providing information or directing inquiries appropriately Ensure phone etiquette is maintained at all times to foster positive interactions Perform clerical tasks such as typing, data entry, filing, and document proofreading with accuracy Experience Prior office experience or administrative support roles preferred but not required; training provided for the right candidate Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel), spreadsheets, and data entry tools Experience using multi-line phone systems and managing phone communication effectively Bilingual abilities are a plus to serve diverse client needs effectively Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Customer service experience that highlights professionalism and excellent interpersonal skills Proven ability to handle confidential information with discretion and maintain high levels of accuracy in clerical tasks This position is designed for motivated individuals eager to grow their administrative expertise while delivering outstanding support in a lively office setting.
