Whole Child Therapy seeks an Office Assistant/Receptionist who is balanced, professional, dedicated, and an effective communicator. We are looking for someone who loves working directly with people and has the ability to make people feel special. The Office Assistant/Receptionist is a crucial part of our administrative team and as such we need you to be teachable, upbeat, and reliable. ORGANIZATION
Whole Child Therapy (WCT) is a multidisciplinary pediatric therapy center servicing all of Utah Valley. WCT specializes in Autism and provides OT, Speech, ABA, and mental health therapy. We are dedicated to providing the highest quality home and clinic care for the children we serve as well as superior levels of customer service for their families. WCT's founders are committed to providing evidence-based services with compassion, knowledge, and collaborative effort.
Skills Required:
Ability to take initiative, problem solve, and make decisions within job scope. Understanding and experience of fast-moving workplace environment with ability to track tasks on a daily, sometimes hourly basis Superior written and oral communication skills Strong track record of customer service and effective people skills Understanding of processes, policies, and procedures required to support the company Excellent time management and organizational skills with strong attention to detail Ability to work well under pressure and multitask without direct supervision Ability to work independently as well as collaboratively in a positive team environment. Adherence to laws and best practices in regards to dealing with clients and data, including HIPAA Comfortable dealing with clients and their families Excellent knowledge of Microsoft Office (particularly Word and Excel) and EMR software Proficiency in English Results-driven and patient Clear and effective schedule management skills High degree of attention to detail and trustworthiness A proven track record of organization, professionalism, and self-motivation. A proven track record of multitasking Exceptional time management Strong verbal and written communication skills - emails should be sent without errors. Treat clients with respect.
Education/Experience:
1 year experience with excel and word documents 2 years experience in customer service 1 year of scheduling experience A minimum of 2 years' experience in an office setting Bilingual is a preferred but not required
Duties & Responsibilities:
Reception Greeting clients and staff Answering phones Supporting our therapists General office organization Party planning Organizing/prepping for meetings Maintain confidentiality according to HIPAA Scheduling - Working closely with Scheduling Specialist Occasionally handling daily cancellations Onboarding - Working closely with Onboarding Specialist Gathering paperwork from new clients
