Job Description
Job Overview We are seeking a professional and organized individual with experience using Microsoft applications and providing excellent customer service. Responsibilities include greeting and assisting visitors, ensuring all guests sign required logs, supporting supervisors with administrative tasks, and maintaining accurate and up-to-date digital reports. The ideal candidate is detail-oriented, dependable, and able to multitask in a fast-paced office environment. Duties Greet visitors and clients warmly, ensuring a professional and friendly first impression Manage multi-line phone systems, directing calls accurately and courteously Handle all incoming correspondence, including emails, messages, and deliveries Maintain organized filing systems, data entry, and document proofreading to ensure accuracy Support office management tasks such as calendar scheduling, appointment setting, and personal assistant duties Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Perform basic bookkeeping tasks using QuickBooks or similar software for invoicing and record-keeping Ensure proper phone etiquette and excellent customer service at all times Assist with clerical tasks including filing, copying, scanning, and maintaining office supplies Requirements Proven experience in office administration or clerical roles with strong organizational skills Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry software Experience with multi-line phone systems and phone etiquette standards Strong organizational skills with the ability to prioritize tasks effectively Typing speed of at least 50 words per minute with high accuracy Knowledge of bookkeeping tools such as QuickBooks is preferred Previous experience in customer service or support roles demonstrating professionalism and patience Ability to handle confidential information discreetly and maintain professionalism under pressure Personal assistant or calendar management experience is advantageous Join us in creating a welcoming environment where organization meets exceptional service!
